Staff_Club Trip Request Process Workflow Instructions
Fill out the workflow form to start the club trip request process.
TIP: The workflow URL will be provided to you when you are onboarded.The submitter receives two emails.
a. First is an assignment email to complete step 2.
b. The second is an email that contains a prefilled link to share with students. Students use this link to submit the risk and travel conduct form.
Share the URL that you received for step 2, part b, with your students.
Monitor submissions periodically with the link provided to you when you are onboarded. Verify that all of your students have filled out the form before proceeding.
TIP: You will see all student field trip submissions for all of your requests. All submissions will be sorted by the date they were submitted by the student.
Once all of your students have submitted forms for a specific field trip, select each one from the list by placing a check mark next to their row on the left.
Once all the students for a particular trip are selected, click on Export and choose to PDF.
Click on the email you received for step 2, part a, and enter the necessary Club trip information and upload the PDF you exported in step 5/6.
Once the dean or supervisor approves the request, the next step is assigned to Student Life.
TIP: If the dean or supervisor denies your request, this will be the last email you will receive about the field trip.
Once Student Life (Student Development) approves or denies the request, you will receive another email notification.
